NEW Opened Email Notification
Leads360 began working with StrongMail in 2008 to enhance and expand our email capabilities with a focus on providing the best deliverability possible for your content. After successfully re- launching the email system, we’re excited to tell you about the latest email feature, Email Opened Notification, which will automatically alert you when an email has been opened by a prospect.
Free Introductory Beta Period
We are releasing this valuable new tool to all LeadManager users in order to test the notification’s performance. During this period, you may use this notification for free and let us know how it’s working for you. At the conclusion of the Beta period, we may make changes based on performance and user feedback.
How it Works
Every time an HTML-based email is sent to a prospect, a small, invisible image is included in the message. When the email is opened, the image is called from the server and an update alert is sent to the LeadManager. Once the alert is received, a notification popup will be displayed to the assigned user to indicate that the email has been opened, indicating that this is a good time for you to call that lead. This feature gives you the opportunity to reach out to clients when they’re thinking about your offer. In addition, it can provide guidance to modify your subject lines or drip settings based how many prospects are opening your emails.
Requirements
· You must be using the built-in StrongMail email solution
· You must create your emails in HTML (text-based emails cannot support notification)
· You must check the Email Opened Notification setting within the Client Settings or My Settings pages
Limitations
· Notifications are only triggered when the lead opens the email (not users or other recipients in the CC or BCC fields)
· Because of the image requirement, text emails cannot generate opened email notifications.
· In some cases, email systems will default images to invisible, allowing the recipient to control whether they chose to view the images. A notification won’t be triggered unless the recipient opts to view images in your message.
To set up your Email Notification Setting
To begin receiving the Open Email Notifications, you’ll need to adjust your account settings.

1. Go to the My Settings page |

2. Click the checkbox marked ‘Receive Email Open Notification’. You may uncheck this box to stop receiving notifications. |

Receiving Notifications
Once you’ve turned on your Receive Email Open Notification, you’ll begin receiving notifications. Note that each notification will include the following information:
· Lead Information - Typically first name, last name, day and evening phone numbers, which you manage from the Client Settings page using the Unique Lead Identifier field
· Template Name – The name of the email template that was sent
· Recipient – The email address of the recipient who opened the email

1. Once you a notification is displayed, you may click View Lead to go directly to the lead for further follow-up or you may click ignore to continue your current task. |

Viewing Notifications in the Email Results Summary Report (Administrators Only)
In addition to receiving automatic notifications, Administrators and other users with reporting access can view opened email results in the Email Results Summary.

1. You may access the Email Results Summary from either Reports àEmail Reports àEmail Results summary
– Or –
2. Go to Manage Emails page and click the Email Report Summary button |
|
3. On the Email Results Summary, you must filter by Emails to Leads |
|
|
4. Once you have applied the Emails to Leads filter, you’ll see a new metric called Total Emails Confirmed Opened |
|
|
5. Click on the number link to view a detailed list of all emails that have been confirmed open. |
|
File Storage
The new file attachment feature allows you to attach files to email templates as well as manual emails, expanding your ability to efficiently send documents to your leads. In addition, the new file storage feature allows you to attach these same files to your leads for future reference.
By default, each account is provided with 5 MB of storage capacity, while capacity may be added, for an additional fee, through the new File Storage Settings page within the LeadManager.

1. Go to Administration à Manage Emails and click Add New Email |

2. Add a title, email addresses and content to your email template and click Submit |
|
|
|
3. From the Manage Emails page, select your newly created template and click Edit |
|
|
4. When the Add/Edit Email page is displayed, an Attachments section will now be available at the bottom of the page.
Note: Supported file formats are .csv, .doc, .gif, .jpg, .jpeg, .pdf, .ppt, .text, .xls, .xlsx

|
5. Your current file storage usage is available at the right corner of the Attachment section along with File Storage Settings button.

|
|
6. Click Browse to upload a file from your computer and enter a description
Note: Individual file size is limited to 4 MB
|
|
|
|
7. Once uploaded, you will see a record in the List of Attachments, including: · Date added · File name · Description · File size · User name · Options to view or delete |
|
|
8 Once an email template with an attachment has been sent, the attachment may also be accessed from the Edit Lead page for the relevant lead |
|
|
|
1. Go to Lead Management: View Leads, and select Send Email within the right-click option menu
—OR—
|
|
|
From the Edit Lead page, click Send Email within the Options menu
|
|
|
2. When the Email popup is displayed, select an email template and click Build Email. The default email content and the attachments will be available
|
|
|
3. Clicking View will open the attached file in a pop up window. |
|
|
4. To add additional attachments, click Browse and upload the required file. Add a description and click Upload
|
|
|
5. Click Send Email to send the email along with the attachments
When the email is sent, the attachments will be available with the lead in Edit Lead page
Note: When you reach your file storage limit, the attachments will be emailed but will not be attached to the lead
|

1. In Edit Lead page click Browse and upload the file
2. Add the description and click Upload. The file will be instantly added to the lead |
|
|
3. The attached files will be listed in List of Attachments.
4. Clicking View will open the attached file in a pop up window.
5. Clicking Delete will remove the file from the email.

|
Administrators can manage file storage capacity from the File Storage Settings page accessible from Edit Lead, Add/Edit Email and Client Settings page.
|
1. Go to Preferencesà Client Settings and click Edit File Storage Settings at the bottom of the page
|
|
|
2. Your current file storage limit will be default selected in File Storage Limit
3. Your current monthly cost and current usage will also be displayed
|
|
|
4. To increase the file storage limit select an appropriate limit from the drop down and click Apply or Submit.
On clicking Apply the monthly cost and the usage will also be updated. |
|
|
5. You can also reduce your file storage limit to 5MB which is the default limit available to all clients for free.
Note: You may not reduce the file storage limit below your current usage
Based on whether you increase or decrease your file storage limit your billing records will be instantly updated. Fees will be pro-rated (fee/remaining days in the month) as necessary

6. You can also check the option to automatically increase file storage when storage limit is reached. The file storage limit will automatically be increased by 1GB
